Who we are
Trade-in-Favors is operated by Khare Impact Organization, Inc., a Florida nonprofit corporation doing business as Trade-in-Favors, 27317 Green Willow Run, Wesley Chapel, FL 33544 (“KIO,” “we”). This policy covers the website trade-in-favors.com and the Trade-in-Favors Android app, which shows that same website.

What we collect, and why
You can browse the board without an account. To post, message, or leave a note, you create a free account. Here is everything we store on our servers:
- Email address. Used only to send your sign-in code and to identify your account. It is never shown to other neighbors. Admins can see it when reviewing a report.
- Profile: your display name, 5-digit ZIP code, and an optional short bio. Your display name, bio and ZIP are shown publicly with your posts and on your profile.
- Age and Terms confirmation: the date you confirmed you’re 18 or older and agreed to the Terms of Use, and which Terms version.
- Your posts: offers, needs, kids-resource listings and community events (category, experience level, what you offer or need, what you want in return, neighborhood, ZIP, note, event date) and whether you marked them Done. Posts are public.
- Notes: the positive “Would recommend” and “Would use again” notes you leave. Totals are public; who left them isn’t shown.
- Messages: the private messages you send and receive, and which ones you’ve read. Only you and the other person can read them in the app. Admins may read a reported message or conversation to handle a safety report.
- Safety records: reports you file (reason and optional details), people you block, and any action we take (hidden posts, suspended accounts).
- Sign-in and security data: a random session cookie that keeps you signed in, a one-time sign-in code (stored only as a scrambled hash, deleted after use or 15 minutes), and short-lived rate-limit counters keyed to your account, email or IP address to stop spam. We don’t keep IP addresses with your profile.
We don’t collect your real name (unless you choose to use it), phone number, street address, precise location, contacts, photos, or payment information. The ZIP distance filter uses public Census ZIP-center points; it never uses GPS.
How we use it
- To run the board: show posts, connect neighbors through messages, and show the ZIP distance and “Could be a match” notes.
- To sign you in by email.
- To keep the board safe: review reports, remove posts that break the rules, suspend accounts, and limit spam.
We don’t use your data for ads, profiling, or marketing, and we don’t send newsletters.
Who can see what
- Everyone: your posts, display name, bio, ZIP, the month you joined, and note totals.
- The person you message: your messages and display name.
- KIO admins (authorized volunteers): account emails, reports, and reported content, only to moderate the board.
- People you block can’t message you, and you won’t see each other’s posts.
How long we keep it
- Your account, posts and messages stay until you delete them or delete your account.
- Posts marked Done are deleted automatically 90 days later. Past community events stop showing two days after the event.
- Sign-in codes expire in 15 minutes; sessions expire after 60 days; rate-limit counters within a day.
- If we suspend an account for breaking the rules, we keep the email address on a block list so it can’t sign up again, and we keep related reports as long as needed to protect others.
Deleting your account and data
In the app or website: sign in › 👤 Profile › Delete my account › type DELETE. This immediately and permanently deletes your profile, email, posts, notes, conversations (including the other person’s copy of your shared conversations) and sign-in sessions. Reports you filed are kept without your name. Full instructions: trade-in-favors.com/delete-account.
Can’t sign in? Email info@khim.org from the address on your account with the subject “Delete my account.” We’ll delete it within 30 days and confirm.
You can also delete a single post at any time with “Delete post” on your own card.
The contact form
If you use the “Contact the Neighborhood Watch” page, your name, email address, and message are sent over HTTPS through FormSubmit (formsubmit.co), a form-to-email service, to info@khim.org, an inbox read only by authorized KIO volunteers. FormSubmit handles that message under its own privacy policy. We delete contact messages within 12 months unless we need them for a safety report or legal reason, or sooner if you ask.
Cookies and local storage
We use one strictly necessary cookie (tif_session) to keep you signed in. No tracking or advertising cookies. Your browser may also keep an offline copy of the site’s pages so it loads faster.
Services that help run the site
- Cloudflare hosts the site and stores the board’s database (Cloudflare Workers and D1). It processes standard request details such as IP address and browser type to deliver pages and keep the site secure.
- Email delivery provider (Resend, Inc. or Cloudflare Email Service) receives your email address and the sign-in code in order to deliver the sign-in email.
- Google Fonts supplies the hand-lettered heading font, so Google receives your IP address and browser details when the font loads.
- FormSubmit delivers contact-form messages.
These providers may process data in the United States.
No ads, no tracking, nothing sold
There are no ads, no analytics, and no tracking tools. We don’t sell, rent, or trade your information. The app doesn’t use your location, camera, microphone, or contacts.
Sharing and law enforcement
We may share information if required by law, or if we believe in good faith it’s needed to protect someone’s safety.
Security
All traffic uses HTTPS. Sign-in codes and session tokens are stored only as one-way hashes, sessions are HttpOnly cookies, and admin access is limited to named KIO accounts. No system is perfectly secure; please don’t put sensitive information in posts or messages.
Your rights
Wherever you live, you can ask what information we hold about you, ask us to correct it, or ask us to delete it. Most of this you can do yourself in your Profile. Otherwise email info@khim.org; we’ll respond within 30 days.
Kids
Trade-in-Favors is only for adults 18 and older. Everyone confirms they are 18+ when they join. We don’t knowingly collect information from anyone under 18; if we learn an account belongs to a minor, we delete it. You can report a suspected underage user with the Report button. The Kids resources category is only an informational list for parents; it is not verified or endorsed by Trade-in-Favors.
Changes
If this policy changes, we’ll update this page and the dates above, and post a notice on the board before any significant change takes effect.
